What Is an Email Signature Generator?

An email signature is shown at the end of every email you send. It includes your name, role, how to reach you, and an optional photo, logo or link.

Email apps are strict about the HTML they accept, so a signature that looks right in one app can break in another. This generator builds the signature the way email clients expect and compatible in Gmail, Outlook and Apple Mail.

How to Use It

  1. Fill in your details. The preview updates as you type.
  2. Pick a layout: Classic, Photo, Accent, Logo or Compact.
  3. Set your brand color, font and social icon style, and add a call-to-action or disclaimer if you need one.
  4. Get the signature out:
    • Copy signature copies it with formatting to paste into your email app's signature settings.
    • Copy HTML copies the source code, for apps that take an HTML signature.
    • Download HTML saves it as a file you can open in a browser and copy from later.
    • Email it to me downloads a draft email with the signature, which opens in Outlook, Apple Mail or Thunderbird.

How to Add Your Email Signature to Gmail

  1. Click Copy signature, or Add to → Gmail, in the generator.
  2. Open Gmail on a computer, click the gear icon in the top right, then See all settings.
  3. On the General tab, scroll down to Signature and click Create new. Give it a name, such as "Work".
  4. Click in the signature box and paste (Ctrl+V on Windows, ⌘V on a Mac).
  5. Under Signature defaults, choose the signature for For new emails use and On reply/forward use.
  6. Scroll to the bottom of the page and click Save changes.

Gmail adds the signature to every new email from then on. If you send from more than one address, each one has its own default under Signature defaults.

What to Put in an Email Signature

  • Name, job title and company are essentials, and enough on their own.
  • A phone number and website usually beat listing everything. Your email address is already in the message.
  • A social profiles if you want a client to see like LinkedIn or X.
  • A call to action for "Book a meeting" or "See our latest case study" links.
  • A disclaimer if your industries require one.

Images in Email Signatures

Email apps fetch signature images from the web each time a message is opened, so your photo and logo need public links. Gmail removes images embedded directly in a signature.
